Who we are

This website is operated by Chi Young Norris (Norris) Yu, a submortgage broker licensed in British Columbia with Dominion Lending Centres Volterra Capital (Volterra Capital Corporation), an independently owned and operated mortgage brokerage.

What this policy covers

This policy explains how we handle personal information collected through this website and through the calls, emails or texts that follow if you ask us to contact you. It applies to information collected under British Columbia's Personal Information Protection Act and Canada's Personal Information Protection and Electronic Documents Act.

What we collect

Information you give us. When you complete the form on this site we collect:

  • your first and last name, email address and phone number
  • when your mortgage renewal is due
  • an approximate range for your home's value
  • an approximate range for your mortgage balance
  • the province your property is in
  • a record of the consent you gave, including the date and time, your IP address, your browser, and the exact wording shown to you

Information collected automatically. Like most websites, we collect basic technical information such as your device and browser type, the pages you view, and how you arrived here. If you complete the form, we keep a note of which ad or link brought you to this site with your details. We use cookies and similar technologies for this, including Google Analytics, which helps us understand how the site is used, and the Meta pixel described below. We also use a spam-protection check that looks at technical signals from your browser to confirm the form is being filled in by a person.

Call recordings. If you ask us to contact you, the call you receive is recorded and transcribed. The first call is made by an automated AI assistant on our behalf. We record calls to confirm the details you gave us, to keep records of consent and of what was discussed, and to improve the quality of our service. You are told the call is recorded at the start of the call.

Why we collect it

We use your information to:

  • contact you by phone about your mortgage renewal, as you asked us to
  • let Norris Yu email or text you information about your renewal
  • confirm the details you provided
  • connect you with Norris Yu, or book a time for Norris Yu to call you
  • keep records we are required to keep as a licensed mortgage broker
  • protect this site and form from spam and abuse
  • measure and improve our advertising

We do not sell your personal information.

Consent

We collect and use your personal information with your consent. On this site that consent is given expressly, through the checkbox on the form, to be contacted by phone about your mortgage renewal, including calls placed using automated or AI-assisted dialling. We cannot call you without it.

The checkbox is your consent to our call. Because you asked us about your renewal, Norris Yu may also email or text you about it.

You can withdraw your consent at any time by telling us on a call, by calling Norris Yu at 604-671-7819, or by emailing info@volterracapital.ca. Withdrawing consent stops future contact; it does not affect anything we have already done with your consent.

Who else handles your information

We use service providers to run this service on our behalf. Most may only use your information to provide that service to us. Google and Meta also handle information under their own privacy policies.

  • Retell AI: places the confirmation call, and records and transcribes it
  • MongoDB Atlas: stores lead records, in Canada
  • Trello (Atlassian): the board Norris Yu uses to follow up. It holds what you entered in the form, the status of your request and any callback time you booked. It does not hold call recordings or transcripts.
  • Railway: hosts this website and processes the form when you submit it
  • Cloudflare: the spam-protection check on the form
  • Google Analytics: measures how the site is used
  • Meta Platforms, Inc.: see below
  • Phone and email services: the ones Norris Yu uses to call, email or text you

Our lead records are stored in Canada. Some of these providers store or process information outside Canada, including in the United States. While your information is in another country it may be accessible to the courts and law enforcement of that country under its laws.

Advertising and the Meta pixel

This site uses the Meta pixel and Meta's Conversions API. These tell Meta that someone arrived from an ad, whether they completed the form, and whether their details were confirmed on the call, so we can measure whether our advertising works. Contact details we share with Meta, such as your email and phone number, are hashed before they are sent. Meta also receives technical information such as your IP address and browser. We do not share your answers about your home or mortgage with Meta. Meta handles that information under its own data policy.

You can control how Meta uses this for ads in your Facebook or Instagram ad settings, and you can block or delete cookies in your browser. Google offers a browser add-on to opt out of Google Analytics.

This site is not part of, and is not endorsed by, Meta Platforms, Inc.

How long we keep it

We keep lead records, Trello cards, call recordings and transcripts, and messages with you for 3 years, unless we are required to keep them longer to meet our obligations as a licensed mortgage broker, or you ask us to delete them sooner.

Two kinds of record are kept after everything else is deleted:

  • Records of consent, for as long as we may need to show that consent was given.
  • Do-not-contact records: your phone number and the date you asked us to stop. We keep these permanently, so that we don't contact you again.

Keeping it safe

We use reasonable physical, organisational and technical safeguards to protect personal information against loss, theft, and unauthorised access or disclosure. Access is limited to people who need it to do their work. Information is encrypted when sent to us and when stored in our database.

If a breach creates a real risk of significant harm to you, we will notify you and the regulator as required by law.

Your rights

You may ask us to:

  • tell you what personal information we hold about you and how it has been used
  • correct anything that is inaccurate
  • delete your information, subject to any records we are required to keep
  • stop contacting you

If you ask us to delete your information, we will keep your phone number on our do-not-contact list so that we don't contact you again.

Write to info@volterracapital.ca and we will respond within the time required by law. If you are not satisfied with our response, you may contact the Office of the Information and Privacy Commissioner for British Columbia at oipc.bc.ca.

Do-not-contact requests

If you ask us to stop contacting you, in any words, we record that request and honour it permanently. We will not contact you again by any means.

If someone gives us your number and you don't know them, tell us on the call and we will not call that number again.

Children

This site is not directed to anyone under the age of majority in British Columbia, and we do not knowingly collect their personal information.

Changes to this policy

We may update this policy from time to time. The current version is always posted here, with the date it was last updated.
